As boring as it may sound, building systems is an essential part of creating a profitable vet practice. Without systems, everything in the practice falls down. You end up overworked, stressed out, and unable to generate the profit that you know you deserve.
You should have systems for everything. And to prove it, I’m going to give you an example of a system to use whenever a new client visits.
These are the steps:
We ask the new client how they heard about us. If they’re a referral, we get the name of the person who referred them and send that person a thank-you card. We send out thank you cards every two weeks to our referrers to show that we valued them.
We worked through a set list of the things we wanted to discuss with the new client during each following appointment. The point here was that each time we saw the client there was one specific thing we wanted them to commit to rather than expecting them to do everything at once.
After their first visit, we send a card out to the new client thanking them for choosing us along with a $20 gift voucher to use on any of our clinic’s services.
The last step in the process is to set up reminders for the client for their next visits.
Every member of our team knew this system and followed it to the letter. As a result, we always knew that new clients were given the same high standard of care every single time.
It’s like baking a cake. Just follow the recipe.
But this is just one example.
The reality is that you need a system for every single thing that you do in your practice. No matter how minor, your systems create consistency, which in turn, creates a stronger practice.
